Please read these Terms and Conditions ("Terms", "Terms and Conditions") carefully before using the website operated by Sunset Meadow ("us", "we", or "our"). Your access to and use of the service is conditioned on your acceptance of and compliance with these Terms. These Terms apply to all visitors, users, and others who access or use our services.
By accessing or using the service, you agree to be bound by these Terms. If you disagree with any part of the terms, then you may not access the service.
When you make a booking with Sunset Meadow, you guarantee that you have the authority to accept and do accept these Terms on behalf of yourself and your party. A contract is formed between us when we send you a booking confirmation. No booking shall be deemed to have been accepted by us until we have received your deposit (or full payment, if booking within 60 days of departure) and issued a booking confirmation.
A non-refundable deposit of 20% of the total tour price is required at the time of booking. The balance of payment is due 60 days prior to departure. For bookings made within 60 days of departure, full payment is required at the time of booking. Failure to pay the balance by the due date may result in cancellation of your booking and forfeiture of your deposit.
All prices are quoted in British Pounds (GBP) and are per person based on double occupancy unless otherwise specified. Prices are subject to change without notice due to currency fluctuations, fuel surcharges, tax increases, or other circumstances beyond our control. Once your booking is confirmed and deposit paid, your tour price is guaranteed, except for any government tax or levy increases.
We accept payment by credit card (Visa, MasterCard, American Express), bank transfer, or other methods as specified during the booking process. For credit card payments, a processing fee of 1.5% may apply.
If you need to cancel your booking, you must notify us in writing. Cancellation fees will apply as follows:
We strongly recommend that you purchase comprehensive travel insurance at the time of booking to protect against unforeseen circumstances.
If you wish to make changes to your booking after confirmation, we will endeavor to accommodate your request, but cannot guarantee availability. An administration fee of £50 per person per change will apply, plus any additional costs incurred. Changes made within 60 days of departure may be treated as a cancellation and rebooking, with cancellation fees applying.
We reserve the right to cancel or make significant changes to your tour due to unforeseen circumstances, including but not limited to natural disasters, political instability, or insufficient participation. In such cases, we will offer you the choice of:
If we cancel your tour due to insufficient participation, we will notify you at least 30 days prior to departure. We will not be responsible for any additional expenses incurred by you in preparation for the tour.
It is your responsibility to ensure that you have valid travel documents, including passports, visas, and any required vaccinations or health certificates. Your passport must be valid for at least 6 months beyond your planned return date. We can provide general information about these requirements, but you should verify specific requirements with the relevant embassies or consulates.
Comprehensive travel insurance is strongly recommended for all travelers. Your insurance should cover cancellation, medical expenses, repatriation, and personal liability. We reserve the right to request proof of adequate insurance coverage prior to departure.
You are responsible for ensuring that you are physically fit to undertake the tour as described in the itinerary. Some tours may involve activities at high altitudes, extensive walking, or other strenuous activities. If you have any medical conditions, disabilities, or mobility limitations, you must notify us at the time of booking.
Our tour leaders and local guides have the authority to make decisions for the safety and well-being of the group. You agree to comply with their reasonable instructions and decisions. Failure to do so may result in your exclusion from the tour without refund.
You agree to behave in a reasonable and responsible manner, with respect for local customs, regulations, and the comfort of other travelers. We reserve the right to terminate your participation in the tour if your behavior is disruptive, endangers yourself or others, or is in violation of local laws. In such cases, no refund will be provided, and you will be responsible for any resulting costs, including return transportation.
While we make every effort to operate tours as advertised, changes to itineraries, accommodations, transportation, or activities may be necessary due to local conditions, weather, or other circumstances beyond our control. We reserve the right to make such changes without prior notice or compensation.
We will arrange and provide the services described in our brochures and website with reasonable skill and care. We accept responsibility for any damage caused to you by our failure to perform or improper performance of these services, unless the failure is:
Our liability to you for any loss or damage which you may suffer is limited to three times the price of your tour. This limitation does not apply to personal injury or death resulting from our negligence.
We cannot accept liability or pay compensation where the performance or prompt performance of our contractual obligations is prevented or affected by "force majeure". In these Terms, "force majeure" means any event which we or the supplier of the service(s) in question could not, even with all due care, foresee or avoid. Such events may include war or threat of war, civil strife, natural or nuclear disaster, industrial dispute, terrorist activity, fire, adverse weather conditions, and all similar events outside our control.
We are committed to protecting your privacy. We will collect and process your personal information in accordance with our Privacy Policy, which is available on our website. By agreeing to these Terms, you consent to the collection and processing of your data as described in our Privacy Policy.
If you have a complaint during your tour, you must promptly notify our tour leader or local representative, who will endeavor to resolve the issue. If the problem cannot be resolved locally, please contact our office. If you remain dissatisfied after the tour, you must submit a written complaint to us within 28 days of your return, including your booking reference and all relevant information. We will acknowledge your complaint within 14 days and provide a full response within 28 days.
These Terms are governed by the laws of the United Kingdom. Any dispute arising under these Terms shall be subject to the exclusive jurisdiction of the courts of the United Kingdom.
If any provision of these Terms is held to be invalid or unenforceable, such provision shall be struck out and the remaining provisions shall remain in force.
These Terms constitute the entire agreement between you and Sunset Meadow regarding your tour booking and supersede all prior or contemporaneous communications, whether electronic, oral, or written.
We reserve the right to update or modify these Terms at any time without prior notice. Changes will be posted on our website, and the "Last Updated" date at the top of this page will be revised. Your continued use of our services after any changes indicates your acceptance of the modified Terms.
